Privacy policy

This policy explains what personal data SynapLink collects when you use the SynapLink app (synap-link.netlify.app) or this website, why, who can see it, and the rights you have.

Who we are

SynapLink is run by ENTELXCORE SINGLE MEMBER P.C. (ENTELXCORE ΜΟΝΟΠΡΟΣΩΠΗ Ι.Κ.Ε.), a company registered in Greece. We are the controller of your personal data.

What we collect

  • Account details: your email address, first and last name, and password. Your password is handled by our sign-in provider and stored only in a scrambled (hashed) form that we can’t read. If you sign in with Google, we receive your name, email address and profile photo from your Google account instead of a password.
  • Profile and settings: your plan, language and theme, and any job title, company, department or phone numbers you add.
  • Your cards: the details you put on them, such as your name, job title, company, email, phone numbers, website and card style. On the free plan cards are stored only on your device. On Premium and Teams they’re stored in your account, and each card has a public page (see “Who can see your data”).
  • Contacts you save: when you scan a SynapLink card or a vCard QR code, or save someone from their card page, we store the details they shared (such as name, job title, company and contact details) together with your notes, tags and favourites. Contacts are stored in your account on every plan, including the free plan.
  • Company and team details: if your company uses SynapLink, which company you belong to (matched from your email domain), your role, department and membership status, and invitations your admins send (the invitee’s email, role and department).
  • Card views: how many times each public card page has been opened. This is a count only: we don’t record who opened it.
  • Messages to us: what you send through the contact form (your name, work email, company, team size, topic and message) or by email.
  • Technical data: when you use the app or this website, our hosting providers process your IP address, browser details and the pages or files requested, to deliver them and keep them secure.

Why we use it, and on what legal basis

  • To provide SynapLink: create and run your account, store and share your cards, keep your contacts, run company teams, and send you account emails (such as confirming your address or resetting your password). Legal basis: our contract with you (Article 6(1)(b) GDPR).
  • To run company accounts: link colleagues to their company, let admins approve members and manage company cards. Legal basis: our agreement with your company and its legitimate interest in managing its team’s cards (Article 6(1)(b) and (f)).
  • To store contacts you save: the details someone shared with you, kept on your behalf so you can find them again. Legal basis: our legitimate interest, and yours, in providing a contact book (Article 6(1)(f)).
  • To keep SynapLink secure and working, and to fix problems. Legal basis: our legitimate interest in a service that works and can be trusted (Article 6(1)(f)).
  • To answer your messages. Legal basis: our legitimate interest in replying to you, or steps you ask us to take before an agreement (Article 6(1)(f) and (b)).
  • To meet legal obligations, such as handling your data-protection requests. Legal basis: legal obligation (Article 6(1)(c)).

We don’t use analytics or advertising tools, and we don’t send marketing emails.

Who can see your data

  • Anyone with your card’s link: a Premium or Teams card is public. Anyone who has its link or QR code can open it and read the details stored with it, and save them as a contact. Only share the link with people you want to have it.
  • People you share a vCard QR code with: the code itself carries your card details to their phone. We don’t store anything when they scan it.
  • Your company: if you’re part of a company on SynapLink, its admins can see your profile, see and edit your company cards, and approve, suspend or remove you. Other members can see your email address and department in the team list.
  • Nobody else sees your contacts: the contacts you save are visible only to you and to us.
  • The SynapLink team: authorised staff who run the platform, for example to set up companies, answer support requests and carry out account deletions.
  • Service providers that process data on our behalf, under data-processing terms: Google (Firebase Authentication, Cloud Firestore and Cloud Storage, and Google sign-in), which stores and secures account and app data; and Netlify, which hosts the SynapLink app and this website and receives contact-form messages. The app also loads its code and fonts from Google’s servers, which receive your IP address to deliver them.
  • Public authorities, when the law requires it.

We don’t sell your data.

International transfers

Google and Netlify may process data outside the European Economic Area, including in the United States. Such transfers are covered by the EU–US Data Privacy Framework or by the European Commission’s Standard Contractual Clauses.

How long we keep it

  • Account details, profile, cloud cards, contacts and company membership: for as long as your account exists.
  • Cards on the free plan: on your device, until you delete them or clear your browser’s data. We never receive them.
  • Cards when you move from Premium back to Free: they’re moved to your device and deleted from our servers.
  • Cards and contacts you delete: removed from our servers straight away.
  • After we delete your account: we erase your data within one month.
  • Messages to us: for as long as we need them to deal with your request and any follow-up.
  • Hosting logs: for the short periods set by our hosting providers.

Your rights

Under the GDPR, you have the right to:

  • access the personal data we hold about you and get a copy of it;
  • have inaccurate data corrected;
  • have your data erased, including your whole account;
  • restrict certain processing, or object to processing based on our legitimate interests;
  • receive the data you gave us in a portable format;
  • withdraw any consent you gave, without affecting processing that already happened.

You can edit or delete your cards and contacts yourself in the app. To delete your account, or to use any other right, email info@synaplink.gr from the address you signed up with. We reply within one month. You can also complain to the Hellenic Data Protection Authority (www.dpa.gr, Kifisias 1–3, 115 23 Athens).

Age limit

SynapLink is a tool for professionals and isn’t meant for anyone under 16. We don’t knowingly collect data from children. If you believe a child has created an account, contact us and we’ll delete it.

Cookies and storage on your device

This website sets no cookies and uses no analytics. The SynapLink app keeps your sign-in session in your browser so you stay signed in, and on the free plan it keeps your cards there too. Both are strictly necessary for the features you use, so they need no consent. The app sets no tracking cookies.

Security

Data travels over encrypted connections (HTTPS). Access rules decide who can read what: your contacts and profile are readable only by you (and, for your profile, your company’s admins), and a cloud card only through its public link or by your company’s admins if it’s a company card.

Changes to this policy

We’ll update this page when our practices change, and change the date at the top. If a change is significant, we’ll tell you in the app or by email before it applies.
